The Executive Assistant serves as a strategic operational partner to the Founder—ensuring clarity, focus, and seamless execution across daily workflows. This role centers on inbox management, high-value calendar orchestration, and protecting the Founder's time for top priorities. The ideal candidate brings sharp judgment, excellent communication, and the ability to anticipate needs in a fast-moving, high-stakes environment. As a proactive operator, you'll remove friction, manage coordination end-to-end, and uphold professional standards across all interactions.
📊 Key Responsibilities
Executive Support & Workflow Management
- Own the Founder's inbox end-to-end, using structured triage to surface priorities twice daily.
- Draft concise, U.S.-style business communications in the Founder's voice.
- Coordinate follow-ups and confirmations—ensuring zero communication gaps.
- Orchestrate a strategic, high-value calendar: schedule partner meetings, protect deep-work time, and decline or reschedule requests with professionalism.
- Ensure calendar decisions align with business priorities, partner relationships, and operational pace.
Operational Administration
- Coordinate travel logistics when needed, including itineraries and bookings.
- Support event preparation and execution—RSVPs, seat fills, vendor coordination, and day-of logistics.
- Handle simple design tasks (e.g., Canva) and light CRM updates and data maintenance.
- Maintain accurate records of partner, client, and prospect information.
- Provide occasional after-hours support during events or time-sensitive needs.
Project & Process Support
- Assist with project coordination, tracking timelines, commitments, and follow-ups.
- Identify workflow gaps or bottlenecks and suggest practical improvements.
- Support cross-functional tasks to ensure alignment with Founder priorities.
Confidentiality & Compliance
- Handle all executive correspondence and partner information with strict confidentiality.
- Adhere to internal protocols, data-security practices, and professional standards in all communications.
