⚡ Position Overview:

An exciting opportunity has arisen for an Executive Assistant (EA) to join our client’s team. The EA will provide high-level administrative support to the CEO based in New York. This role is ideal for someone in Latin America, offering similar time zones to their leadership team, and it requires exceptional organizational skills, operational excellence, and a proactive mindset. The successful candidate will be pivotal in ensuring the efficiency of their leadership team’s calendar, communication, and overall workflow.

💪 Key Responsibilities:

- Calendar Management: Strategically manage and protect the Founder's time, prioritizing commitments, coordinating and scheduling meetings, and booking travel arrangements.
- Email and Inbox Management: Organize and prioritize the Founders' inboxes, respond on their behalf, and ensure clean and efficient email communication.
- Drafting Communications: Draft emails, messages, and documents on behalf of the Founders, ensuring the tone and style align with their communication style.
- Operational Support: Assist in the logistical coordination of both Founders, anticipating needs and proactively handling day-to-day administrative tasks.
- Meeting Preparation & Follow Up: Prepare for meetings by creating agendas, prepping one-pagers with relevant information, compiling necessary materials in advance, and proactively providing post-meeting follow-ups.
- Information Management And Data Entry: Maintain and organize files and documentation in Google Drive, Notion, and other tools used by the team.

Requirements

- At least 3 years of experience as an Executive Assistant, preferably working with founders or high-level executives in a fast-paced startup environment.
- Exceptional ability to manage tasks and prioritize work, with a focus on efficiency and minimizing disruptions for the Founders.
- Strong problem-solving skills and the ability to handle complex and time-sensitive situations.
- Excellent English communication skills, both written and verbal.
- Proficiency in Google Suite, Notion, Slack, and cloud-based communication and file management tools.
- Ability to adapt to different time zones as needed based on the Founders' locations.
- Detail-oriented, highly organized, and able to handle confidential information with discretion and professionalism.

😊 Nice to Have:

- Previous experience at a B2B SaaS startup.
- Open to occasional travel to NYC if needed.
- Experience using CRM systems such as Salesforce.
